How we keep compliance information
Some compliance and property information is maintained within operational systems rather than in a separate document called a register.
Planned compliance activity
Fixflo is Harbour Light's operational system for planned compliance activity. Management information is used to monitor upcoming, completed and outstanding activity.
Supporting evidence
Certificates and supporting compliance information are retained. Harbour Light also maintains relevant property-level surveys, assessments and records.
Safety and compliance records
These cards describe the principal records Harbour Light holds. They do not publish the underlying property-level documents.
Gas safety records
Harbour Light keeps records of homes requiring gas-safety checks and retains the relevant gas-safety certificates.
Completion information is monitored through Harbour Light's compliance systems.
Fire safety records
Harbour Light holds Fire Risk Assessments and associated review and remedial-work records for relevant communal and multi-occupied properties.
Relevant reviewed documents may be published or made available where appropriate after safety, privacy and publication checks.
Electrical safety records
Harbour Light retains Electrical Installation Condition Reports and related electrical-safety records for relevant homes and installations.
Asbestos records
Harbour Light maintains an asbestos register and supporting survey and evidence records for relevant premises and common parts.
The detailed working register is not published in full because it contains property-level and operational information. Harbour Light uses reviewed information and summaries for public access where appropriate.
Water safety records
Harbour Light holds water and Legionella risk assessments, water-safety records and relevant servicing and check information.
Lift safety records
Harbour Light retains statutory examination and safety records for the communal passenger lifts within its housing stock where these are applicable.
Energy performance records
Harbour Light maintains an Energy Performance Certificate register for its housing stock. The related summary information is published under Class 3 rather than duplicated here.
Other housing-management records
Not all housing-management information is kept as a separate central register.
Damp, mould and hazard cases
Damp, mould and property-hazard cases are managed through Harbour Light's repair and property records, including Fixflo. Harbour Light does not maintain a separate standalone damp-and-mould register.
Adaptations
Harbour Light records adaptation requests and landlord decisions through the relevant property or case records. It does not currently maintain a separate central adaptations register.
Some adaptations are arranged and funded by Local Authorities, for example through Disabled Facilities Grants, with Harbour Light considering the landlord and property implications.
Property inspections
Harbour Light keeps individual property-inspection records. A separate central due and completed inspection register is not currently maintained.
Harbour Light is developing a more structured digital approach to property inspection information.
Why some records are published as summaries
Some Harbour Light working registers and safety records contain detailed property, personal or operational information. Publishing the complete raw record may therefore be inappropriate.
What may be published instead
- a summary;
- aggregate information;
- a reviewed or redacted document; or
- a link to information already published elsewhere.
Information that may need protection
- personal information;
- safety or security information;
- confidential third-party information; and
- detailed operational information where publication could create a genuine risk.
Current safety performance
Class 6 describes the records Harbour Light holds. Class 4 provides the related aggregate performance results.
